Privacy Policy
This website is operated by Pattern Aesthetic Limited, a company registered in England & Wales (company number 17312956), registered office 110b St. Johns Lane, Bristol, BS3 5AJ. In this policy, "we", "us" and "our" refer to Pattern Aesthetic Limited. Pattern Aesthetic Limited is the data controller for the personal data described below.
1. How to contact us about your data
Email [email protected], or write to Pattern Aesthetic Limited, 110b St. Johns Lane, Bristol, BS3 5AJ. You may also telephone +44 7473 990 855, though we ask that requests about your personal data are put in writing so that we have a record of them.
2. What personal data we collect
- Enquiry details you give us: your name, your email address, the engagement types you tick, and whatever you write in the message field of the enquiry form on this website.
- Correspondence: emails, telephone notes and meeting notes created while we answer your enquiry or deliver work to you.
- Contract and billing records where you become a client: contact name, business address, purchase order and invoice details.
- Server logs held by our hosting provider, which include the IP address your request came from, the time of the request and the page requested. We do not use these logs to build a profile of you.
We do not run analytics, advertising or tracking software on this website, and we do not collect special category data. We do not knowingly collect data about children.
3. Why we process it, and our lawful basis
| Purpose | Data used | Lawful basis (Art. 6 UK GDPR) |
|---|---|---|
| Answering an enquiry sent through the form, by email or by telephone | Name, email, message, engagement types | Legitimate interests (Art. 6(1)(f)) — responding to someone who has approached us about our services |
| Preparing a proposal, quotation or specification | Enquiry details and correspondence | Steps taken at your request prior to entering a contract (Art. 6(1)(b)) |
| Delivering work and supporting it | Contract, contact and project data | Performance of a contract (Art. 6(1)(b)) |
| Issuing invoices and keeping accounting records | Billing records | Legal obligation (Art. 6(1)(c)) — UK tax and company law |
| Keeping this website secure and available | Server logs | Legitimate interests (Art. 6(1)(f)) — security and fault diagnosis |
4. How long we keep it
- Enquiries that do not become work: 24 months from your last contact with us, then deleted.
- Client project records and correspondence: 6 years after the end of the engagement, which is the period during which a contractual claim may be brought under the Limitation Act 1980.
- Invoices and accounting records: 6 years after the end of the accounting period they fall in, as required by UK tax law.
- Server logs: 30 days on a rolling basis.
5. Who else sees it
We do not sell your personal data, and we do not share it for anyone else's marketing. We use a small number of processors who handle it only on our written instructions:
- our website hosting provider, which stores this site and its server logs;
- our business email provider, through which enquiries and correspondence pass;
- our accountants and our accounting software provider, for invoices and statutory records.
We will also disclose data where the law requires it — for example to HMRC, a regulator, or in response to a valid court order. Google Fonts is loaded from Google's servers to display this page's typefaces; that request discloses your IP address to Google but sets no cookie and stores nothing on your device.
6. International transfers
Our hosting, email and accounting are provided from within the United Kingdom or the European Economic Area. Where a processor's support function reaches outside that area, the transfer is covered by the UK International Data Transfer Addendum to the EU Standard Contractual Clauses. The Google Fonts request described above may be served from outside the UK; it carries only the technical data needed to return a font file.
7. Your rights
Under the UK GDPR you have the right to:
- be told what personal data we hold about you, and receive a copy of it (access);
- have inaccurate data corrected (rectification);
- have data erased where we no longer have grounds to keep it (erasure);
- have our use of it restricted while a dispute about it is resolved (restriction);
- receive data you gave us in a portable, machine-readable form, or have it sent to another controller (portability);
- object to processing we carry out on the basis of legitimate interests (objection);
- not be subject to automated decision-making — we do not carry out any.
8. Withdrawing consent
Where we rely on your consent, you may withdraw it at any time and it costs you nothing to do so; withdrawal does not affect processing carried out before you withdrew. The only consent this website asks for is the cookie choice, which you can change at any time using the Cookie preferences link in the site footer. To withdraw any other consent, email [email protected].
9. How to exercise your rights
Email [email protected] with the request and enough detail for us to find your records. We respond within one month of receiving the request, as required by the UK GDPR. If the request is complex we may extend that by up to two further months, and we will tell you within the first month if we intend to. We do not charge a fee for a normal request.
10. Complaints
If you are unhappy with how we have handled your personal data, please raise it with us first at [email protected] — most problems are quicker to fix directly. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority, at www.ico.org.uk, by telephone on 0303 123 1113, or by post to Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
11. Cookies
This website stores a single entry in your browser's local storage, named vofcore_cookies, to remember whether you accepted or declined the cookie notice. It contains no identifier and is not read by anyone but this site. We set no analytics, advertising or tracking cookies. The full detail is in the Cookie Policy.
12. Changes to this policy
If we change how we handle personal data, we update this page and change the date at the top. Where the change is significant and we hold your contact details, we will tell you directly.
